Different Committees Within Your Golf Tournament

Whether you’re a first time golf tournament planner or you’ve been coordinating your golf outing for years, it never hurts — nor is it ever too late — to make some major improvements in your planning!  Today, Hole In One International is here to not only stress the importance of assigning different committees within your golf tournament, but also to explain the different types of committees and the responsibilities of each one.

 

1) The Marketing/PR Chair
While the Marketing/PR Chair’s main focus may appear blatantly obvious to us, there’s one thing to keep in mind: Connections, connections, connections!  Make sure the individual you choose to fill this role has plentiful connections within not only your community, but in the media as well.  The Marketing/PR Chair should actively seek out and seize any/all available promotional opportunities, including activities such as a hole in one contest or putting contest.

2) The Tournament Chair
The Tournament Chair is your golf tournament’s ‘leader.’  Make sure they’re well-connected within your community and are prompt and reliable when it comes to deadlines.  The Tournament Chair is oftentimes also the contact person for people interested in participating and need more information.  Feel free to list their contact information in any brochures, online advertising or any other marketing materials your golf tournament commitee produces.

3) The Sponsorship Chair
Make sure your appointed Sponsorship Chair has sufficient connections within the business community and is a top-notch, experienced salesperson!  This individual will be in charge of acquiring sponsors for the golf tournament and selling them the sponsorships.

4) The Logistics Chair
The Logistics Chair will ideally be responsible for not only budgeting, but managing operations and personnel as well.  The Logistics Chair should ideally be very detail-oriented by nature.  After all, the last thing you or your golf tournament committee want or need is oversight on the Logistic Chair’s part — especially when it comes to your budget and money.

5) The Honorary Chair

6) The Golfer Chair
The Golfer Chair should ideally be a golf enthusiast and will be responsible for recruiting players for the golf tournament.  Being an avid fan of the game and being able to network with other fellow golfers is always helpful when it comes to recruiting players for a golf tournament.

7) The Gift & Prize Chair
The Gift and Prize Chair will be responsible for creating various sponsorship packages and finding deals on the prizes and gifts being offered to them.  Make sure that the sponsorship packages/offers are appealing and that your sponsors are being adequately rewarded for the money they’ll be putting in.  For example, it’s always a good idea to recognize your sponsors with golf sponsor signage.  Remember to clue in the Sponsorship Chair about what your final gift and prize packages will be — it will hopefully make for an easy sale for them!

Tracking Your Golf Signage…

Here’s an exciting feature you may not have been aware of:  Hole In One International allows for you to easily track your signage on their website!  Simply click on the ‘Track My Signs’ link on the upper right-hand corner of our website!

All you need is your application/contract number, which can be found either at the at the top of the paperwork we send you or your certificate of participation if insuring a hole-in-one contest, shoot-out contest or putting contest.  Then, voila!  The tracking portion of the UPS website will automatically load, letting you know the status of your shipment!

Quick Tip: If you’ve purchased sponsor signs, your application or contract number will begin with the letter ‘O’ followed by a 4-digit number; for free tee signs and auxiliary prize signs, the letter ‘H’ followed by a 6-digit number.

Properly Advertising Your Golf Tournament – Part 2/2

Welcome to part 2 of “Properly Advertising Your Golf Tournament.”  If you didn’t read part 1 earlier this week, make sure to do so before continuing on.

4.)  Sending Out Invitations
It may not seem like it, but something as simple as sending out invitations can be a great way to advertise.  Make sure to personalize them and have them look professional.  Once you’ve fine-tuned the details of your golf tournament, you can then begin sending out those invitations!  You’ll be pleasantly surprised to see how many interested individuals contact you!  Be sure to have multiple methods of contact on your invitation — phone number, email, fax, etc.  Not everyone uses the same one, after all.

5.)  Give Your Sponsors Maximum Exposure
Make sure to properly advertise not only for yourself and your outing, but for your sponsors as well! Purchase sponsor signs featuring the sponsor’s logo (plain text can also be used) and whatever you do, make sure you know where to place the signage to give your sponsors the recognition out on the golf course that they deserve!

6.)  Discounts & Special Offers
Give your players an incentive for registering for your golf tournament prior to the cut-off date by offering a discount on the price of their foursome if they submit payment prior to it.  After the tournament, give players a similar incentive for registering for next year’s tournament on the spot!  And last, but definitely not least, don’t forget to announce if you’re going to be holding any sort of golf contests during your outing – especially ones that involve big prizes, such as a hole in one, Million Dollar Shootout or putting contest!

Fundraising Activities and Contests

Golf season is finally here!  Looking to help fuel fun and raise funds at your upcoming event?  Then you’re going to love this post.

There are undoubtedly many objectives you’re looking to fulfill this year when it comes to your upcoming fundraising golf tournament.  Raising money for your cause will obviously be your #1 priority.  You’ll definitely want to offer value to your sponsors, attract new players to your organization (and get them to come back next time!), as well as increase overall revenue from players and sponsors alike.  But how do you go about achieving this?

We have one word for you: activities!

All kidding aside, it’s important to have both golf and other fun activities and contests spread throughout your event — before, during, and even, after.

Before your event, it’s a great idea to hold a raffle featuring donated prizes.  These prizes can be anything from free rounds of golf, vacation/travel packages to great golf destinations or even a colossal cash prize!  Just have everyone donate a few bucks to have their name put into the raffle.  It’s a simple, yet effective way of fundraising.  You can also sell a variety of logoed merchandise at the event!  From golf balls, clothing and even customized towels, you’ll be surprised as to just how many people will be interested in purchasing your goods — especially when it’s going to a good cause!  Still not convinced of the value these activities have?  How about holding a qualifying round for an insured putting contest where players can win up to $50,000!  After you’ve qualified your players, bring them back at the end of the event to take a shot (or rather, “putt”) at a great prize!  Feel free to charge your participants $x to enter the qualifier.  Facing time restraints?  Call upon your good friend ‘raffle’ to save the day and make the qualifying process a breeze!  Also, be sure you have any events/contests and sponsors adequately promoted with the help of golf contest signage.

Planning Your Company Golf Outing

In a panic because you’ve just learned that you’re in charge of the company golf outing?   Looking for some tips on how to ttake your current outing from drab to fab?  Good news!  Kristen Hansen, Social Media Marketing Assistant with Hole In One International, is here today to help you out with some great pointers!

Name Your Outing
This may seem like a no-brainer but  it’s important!  Give your outing an enticing, yet simple and repeatable name.  For example, rather than using a generic name like ”Hole In One International Golf Outing”, try adding a few attention-grabbing words (i.e. Hole In One International’s Whole Office Tee Off )  Already have a name for your outing you’ve been using previous years?  No problem!  It’s never too late to change it up!  This is your tournament, after all.

Find Your Players & Sponsors
You and your golf planning committee should be able to target potential players and sponsors with ease. You can invite employees, clients, and vendors. You can assigne your sales team to identify their own foursomes. Whatever is best for your … as long as you have a  game plan on who you plan on inviting.  Tip: Be sure to have someone from your committee build a website for your golf outing where players and sponsors can register/pay online!  Not only is having a website great for advertising purposes, but it makes receiving your funds as easy as 1-2-3!  And be sure to offer your sponsors their own  sponsor signs so they’ll get their recognition out on the golf course!

Scope Out Your Venue
Another important step to planning any golf outing is researching the golf course/golf club where you’ll be holding your event. Make sure the course can accomodate the number of players you plan on having that day, make sure the greens are maintained to your satisfaction and always be sure to consult with your committee before making any final decisions.

Make Your Event Appealing
You need to stand out!  Consider using a celebrity or local business leader as your event Chairperson, which will give your event instant credibility.  Offer a large amount of sponsorships and load them with value.  Also be sure that you’re offering fun and exciting golf contests to your event – the hole in one contest is arguably the most popular, but you could also hold a longest/straightest drive or closest to the hole contest as well.  The possibilities are endless!  Add pre-, on-course and after-event games to maximize interest.

Selling Sponsorships At Your Golf Tournament (Part 3 of 3)

Before reading on, if you haven’t checked out part 1 or part 2 of this blog post series, we encourage you to do so now!  For those of you returning, welcome back and we hope you find the final portion of Selling Sponsorships At Your Golf Tournament helpful!

Offer Sponsorship Incentives
Add bonuses and incentives once you’ve gained your sponsorships!  For example, you may want to consider giving your sponsors, or even your players, a discount if they’re able to assist you in acquiring additional sponsors.  For your big title sponsors, use cross promotion incentives (i.e. include a special offer from them on your website, if they agree to promote the event on their site).  Distribute literature about your sponsors and consider the option of offering multi-year discount agreements (i.e If you agree to be our beverage sponsor for the next 3 years,we’ll give you an x% discount off of your total sponsorship package cost).  Consider rewarding your most loyal sponsors by giving them exclusive privledges and perks based on the number of years they have supported and contributed towards your event – or rewarding them with category exclusivity — for example, if a vodka company is your beverage sponsor, give them the peace of knowing that they’ll be your one and only beverage sponsor for the entire tournament.

As you can see, there are many different ways to increase sponsorship sales by offering perks, bonuses and rewards … so get creative!

Selling Sponsorships At Your Golf Tournament (Part 2 of 3)

Teach Your Committee How To Adequately Sell
As silly as it sounds, it’s vital for your everyone in your committee to be on the same page and know the appropriate sales process. Be sure to set sales goals for each member and start selling early! Be sure to use multiple methods of contact, such as personalized letters, telephone calls or better yet,  personal visits to your potential sponsors. Instruct your committee to ask open-ended questions, have an objective prior to each sales presentation, listen carefully to what your sponsor has to say, implement the necessary follow-up steps and last, but not least,  follow up!
